Section 1Purposes of Processing

  1. 1.The operator of sendstage (the “Company”) processes personal data for the following purposes and does not use it for any other purpose.
  2. 2.Account registration and management: account creation, identity verification, and maintaining membership
  3. 3.Service delivery: providing the chat SDKs, APIs, and operations dashboard, authenticating sign-ins, and delivering service notices
  4. 4.Inquiry handling: receiving, confirming, and responding to inquiries
  5. 5.Service improvement and security: usage analytics, abuse prevention, and incident response

Section 2Data We Collect and How

  1. 1.The Company collects the following personal data:
  2. 2.When you create an account (required): email address and password
  3. 3.When you submit the contact form: name, email address, company name, and the content of your inquiry
  4. 4.Collected automatically during use: service usage records, access logs, IP address, cookies, and browser information
  5. 5.Personal data is collected through dashboard sign-up, the website contact form, and automatic collection in the course of using the service.

Section 3Retention Period

  1. 1.The Company processes and retains personal data within the period required by law or agreed to by the data subject.
  2. 2.Account information is deleted without delay when a member closes their account, except where retention is required by applicable law, in which case it is kept for the legally mandated period.
  3. 3.Inquiry records are retained after resolution for the period prescribed by applicable law and then deleted.

Section 4Handling of Entrusted Chat Data

  1. 1.Chat messages, files, and other data that end users send and receive within a member's app or web service (“entrusted data”) are data entrusted to the Company by the member; the Company processes them only to the extent necessary to provide the service.
  2. 2.Entrusted data is protected with encryption both in transit and at rest.
  3. 3.Message logs are retained for 6 months and deleted on a rolling basis once the retention period elapses.
  4. 4.Members may view and delete entrusted data via the dashboard or API. Upon termination of the service agreement, entrusted data is deleted in accordance with applicable law.
  5. 5.Legal obligations toward end users — such as notices and consents regarding personal data contained in entrusted data — rest with the member who entrusted the data.

Section 5Disclosure to Third Parties

  1. 1.The Company processes personal data only within the purposes stated in Section 1 and does not disclose it to third parties.
  2. 2.Exceptions apply only where the data subject has given prior consent or where specifically required by law.

Section 6Outsourcing of Processing

  1. 1.The Company may outsource certain tasks, such as cloud infrastructure operations, to provide the service smoothly.
  2. 2.When entering into outsourcing agreements, the Company supervises processors in accordance with data protection laws, and discloses the scope of outsourced work and the processors in this policy once they are confirmed or changed.

Section 7Your Rights and How to Exercise Them

  1. 1.Data subjects may at any time request access to, correction or deletion of, or suspension of processing of their personal data.
  2. 2.Requests can be made through account settings in the dashboard or via our contact channels, and the Company will act on them without delay.
  3. 3.Rights may also be exercised through a legal representative or an authorized agent.

Section 8Data Deletion

  1. 1.The Company deletes personal data without delay once it is no longer needed, such as when the retention period expires or the purpose of processing is achieved.
  2. 2.Electronic files are deleted using technical methods that prevent recovery; other records are shredded or incinerated.

Section 9Security Measures

  1. 1.The Company takes the following measures to keep personal data secure:
  2. 2.Encryption in transit and at rest for personal data and entrusted data
  3. 3.Account protection features, including OTP-based two-factor authentication
  4. 4.Least-privilege access controls and the recording and retention of audit logs
  5. 5.Internal management plans and regular employee training

Section 10Cookies

  1. 1.The Company may use cookies to provide the service, for example to remember your language preference.
  2. 2.You can refuse cookies through your browser settings, though some features may then be limited.

Section 11Privacy Officer and Contact

  1. 1.The Company designates a privacy officer responsible for overseeing personal data processing and for handling related complaints and remedies.
  2. 2.Privacy-related inquiries, complaints, and requests for remedy can be submitted through the contact page on this website, and the Company will respond and act without delay.

Section 12Changes to This Policy

  1. 1.This policy is scheduled to apply from July 1, 2026.
  2. 2.If this policy is added to, amended, or removed due to changes in law, policy, or the service, the changes will be announced on the website at least 7 days before they take effect.
